Document Management Overview: Effective document management saves an organization time and resources by ensuring that documents are stored, sorted, and easily referenced.

Advantages (Centralized): Saves space, equipment, and personnel; applies a single system for all documents; standard equipment can be used; easy to adapt to various needs; sophisticated systems can be implemented.
Disadvantages: Classification systems may not be the best for all documents, as delays can occur if someone has the document, leading to time spent searching through many files.
According to Use: Active (consulted with high frequency, located near the user, contains essential information), Definitive, Passive, or Dead (documents saved for various imperatives, not frequently consulted, can be stored compactly), and Semi-Active (documents not consulted daily but with some frequency).
According to Storage Type: Horizontal, Vertical, and Lateral.
Materials: Hanging folders, ring binders, boxes for final filing, consumables such as drills, cutters, binding machines, and laminating machines. Auxiliary materials include trays, alphabetical collectors, and sorters, as well as microfilm files.

Sorting: Dividing, ordering, or arranging documents by classes or categories.
Classification Systems:

  • Chronological: by dates (year, month, day)
  • Numerical: allocate and manage by assigned numbers
  • Alphabetical: nominal alphabetical order starting with the first name
  • Geographical: by country or autonomous province
  • Ideological: by related issues

Conditions for a Good File: Easy to use, fast, flexible, continuous, secure, and cost-effective.
Measuring the Quality of a File: Speed and adequacy of materials used for filing.

  • Choose the right method: simple, accurate, safe, comfortable, and flexible for daily use.
  • File divides into different operations: classify and label, separate headings, and save accordingly.
  • Make it easy to search and control various modes.
